A practical exercise for improving field documentation consistency and AI scope readiness
Who attends
PM/Production lead, technicians, estimator (optional), admin/ops (optional).
What to bring
1-3 live jobs (in progress or recently completed) open in Encircle: photos, video walkthrough, notes, measurements/sketch, moisture/condition, evidence (if applicable), etc.
What to do
Complete the Live Job Review exercise below, scoring 1-3 Encircle files based on the scorecard, and committing to some improvements with the team.

Live job review
Pick 1-3 jobs in Encircle. Review the documentation together, score it, and choose 3 habits to implement.
Job Recap (1-5 minutes) - What happened? What areas/materials were affected? What’s the current status? Is all of this clearly documented in the file in Encircle? Or is it someone’s head?
Job review steps
Documentation Review (15-20 minutes) - Review the job documentation in Encircle using the scorecard below.
Commitment (5 minutes) - Based on your job score, choose three habits to implement moving forward. If you need help deciding, pick the item with the lowest score.
Documentation Scorecard
Score each category quickly: 0 = missing/unclear, 1 = present but inconsistent, 2 = clear and complete. Use the Notes column to capture what would have made the file clearer and more defensible.
Score all 14 remaining categories to view results.
